Using Opportunity Management with Baucore Logics
With Opportunity Management (V1) activated, Opportunity records and their associated Contact Roles are automatically replicated into Project and Participant records. This lets users take advantage of Baucore’s data analytics without any extra steps. Project Lead records can also be converted directly into an Opportunity during the conversion process.
This article covers the V1 (single Opportunity per Project) sync behavior. If your org uses V2, see Key Concepts of Opportunity Management V2 instead.
From Opportunity to Project
If the feature is activated, newly created Opportunity records are transferred to a new Project when you click Save. All information on the record can be synchronized, or only previously defined fields, depending on configuration. Linking fields can also be added to the Opportunity, Project, and Participant layouts to track the transfer.
After saving, these fields are automatically filled in on the Opportunity:
- Project — the created Project.
- Sync Status — a status message for synchronization.
- Sync Last Date — the last synchronization date.
Contact Roles
Along with field values, Contact Roles on the Opportunity are also transferred to the new Project — they’re created there as Participants, with their respective role.
- Create at least one Contact Role with a role.
- Click Save.
The Contact Roles are transferred to the new Project as Participants with the corresponding roles assigned. The flags required for the submission sheet are automatically attached to the created Participants.
From Project Lead to Opportunity
If the feature is activated, Project Leads can be synchronized as Opportunities at the same time they’re converted to Projects.
- Click Convert after creating a Project Lead.
- Confirm the record isn’t a duplicate, and select the Participants to transfer.
- In the last step, select an owner for the Project, click Next, then Finish.
In the background: (1) the Project Lead is converted to a Project, and (2) an Opportunity is created with the same data as the Project Lead.
Entered field information and Participants aren’t updated on the Opportunity when changes are made on the Project afterward. However, content such as the submission result, map, Project Navigator, stakeholder analysis, and Supply Chain are linked directly to the Project as hybrid components — changes there appear on both the Project and the Opportunity record.
